Intro to Importing and Exporting

You can transfer data between Info Select and other software applications.

To move text use the Cut and Paste commands. To move entire files use Import and Export – Info Select imports and exports to several formats.

To determine if Info Select can receive or provide data from or to a specific application check the documentation for that application and determine if the application supports one of the general formats that Info Select supports. For example, if program ABC can export to DBase format, you can transfer data from ABC to Info Select by using the other application to export to DBase format and then using Info Select to import the DBase file.

You can move information between Info Select and another application. For example, you can transfer text from a Note to a word processor.

[:] To transfer information from Info Select to another application:

  1. In Info Select, highlight the information to be transferred.
  2. Choose Menu Ribbon | Home | Cut or Copy. The text is now stored on the Clipboard.
  3. Switch to the application where the data will be placed.
  4. Position the mouse cursor at the point where the information should be inserted.
    Choose Edit | Paste. If Edit | Paste does not Paste text as you intend, try Edit | Paste Special… and select the desired format.

To transfer information from a Topic, or any item other than a Note, use the Menu Ribbon | Edit | Change Into | Note command to first convert the item into a Note. Then follow the above steps.

To transfer text into Info Select from another application, follow the above procedure but begin in the other application.

Note: When copying a single line or paragraph to Info Select, the text will paste as a Topic.

Tip: You can press CTRL+SHIFT+C to append data to Clipboard.

Tip: Use the Transporter feature as a faster way to move data into Info Select.

You can transfer information from Info Select to files of various formats. For example, you might want to export an Info Select database of structured information to a file that can be imported into a spreadsheet.

[:] To export data to a file:

  1. In the Selector, choose the item to be exported.
  2. Choose Menu Ribbon | Save | Export to File…. A dialog box appears.
  3. Enter the destination directory, file name and select from the Files of Type list.
  4. Click OK.

Notes:

The type of data must be compatible with the type of file you export to. For example, you can export free-form text to a txt file but not to a DBF database file.

When a Topic is exported in the Note Delimited mode, all items within that Topic will be exported and separated by a special character called the Note Delimiter (Menu Ribbon | Home | Options | Editor | Note Delimiter).

This section reviews how to import data from the file formats listed in the prior section.

[:] To import data from a file:

  1. Choose Menu Ribbon | Open | Import…. A dialog box appears.
  2. Select the desired type from the Files of Type drop-down list.
  3. Select the file directory and name. You can select several files at once by holding down the CTRL key while you select files.
  4. Click OK. Selected file(s) will be imported into Info Select.

Note: When too much data is imported into a single item, Info Select will automatically create multiple items. All .csv and .dbf Files will be imported into a Database, other types will be imported into a Note. When importing a database, you will need to configure the database for proper viewing.

If you are importing ASCII text Files, you can create a Note for each imported record.

[:] To create a new Note for each imported record:

  1. Set Menu Ribbon | Home | Options | Editor | Note Delimiter to a unique character. This character will be used to indicate where one record ends and the next record begins.
  2. In the text to be imported, indicate the point where each record ends by inserting the character you have set as the Note Delimiter (e.g., “~”). When there is only one line per record, set the Note Delimiter to “\r” (hard return).
  3. Choose Menu Ribbon | Home | Open | Import…. A dialog box appears.
    From the Files of Type drop list select Note Delimited
    Select the text File.
  4. Click OK. A Note for each record will be placed in the Selector inside a parent Topic.

[:] To import data from unsupported databases:

  1. Use your Database program to export to DBF or CSV format, or use your Database program’s reporting feature to create a text File. Setup the report so a unique delimiter character is inserted between each record.
  2. Follow the above steps to bring the data into Info Select.
File Formats

File Formats

You can import and export data from and to files of various formats. For example, you might need to import text from a .txt file or tabular data from a comma delimited file.

The following formats are supported. 

ASCII (txt)

This format contains plain text. Information is treated as general text with no font codes or formatting commands.

Rich Text Format (rtf)

This format retains text font and formatting information (size, style, etc.) and can be used with a variety of Windows programs. Info Select allows to import the RTF documents which contain images and bulleted or numbered lists.

XBase Format (dbf)

This format is for importing or exporting databases and retains field name and type information. This is a common database format.

Comma Delimited Format (csv)

This format is also for databases; however, commas separate fields. The first record can be used to specify field names.

Tab Delimited

This format is almost the same as the Comma Delimited Format, however tab characters separate fields. The first record can be used to specify field names.

Note Delimited

This format is for exporting and importing multiple text notes and separates each Note by a special character. The character is specified in Menu Ribbon | Home | Options | Misc | Note Delimiter. In order to export in this format, place all the notes under an expanded Topic, choose the Topic in the Selector, then choose Menu Ribbon | Home | Save | Export to File.

JPEG Image (jpg)

This format is for exporting and importing JPEG images – one of the most common image formats used on the web.

PNG Image (png)

This format is for exporting and importing PNG images – universal image format which provides excellent lossless image compression. You can use this format for storing simple graphics, large scanned documents, etc.

DOS Version of Info Select (wd)

This format is for importing your information from Info Select for DOS.

Earlier Version Info Select (wd2)

This format is for importing your data from any older version of Info Select for Windows and exporting your data to Info Select version 2007. To export your data into Info Select version 2007 choose a File in Selector, then export to wd2. Due to differences in formats between earlier and current versions, data that is exported to an earlier version and then re-imported may have differences. For example, tables in a Note will not be retained.

Transporter

Transporter

The Transporter is a feature that allows you to move data into Info Select from other applications quickly and easily. For example, while at a web site, you can instantly transmit information into Info Select while staying in your browser.

[:] To activate the Transporter option:

  1. Check Menu Ribbon | Home | Options | Transporter | Enable Transporter.
  2. Click OK.

You can set the Transporter to include the name of the source document (or URL if you are transporting data from the web page) into the Transported text. The document name or the URL will precede the Transported text.

[:] To include source document name into Transported text:

  1. Check Menu Ribbon | Home | Options | Transporter | Include source document name in Transported text.
  2. Click OK.

You can have Info Select  set the ToDo icon for items transported into the Selector:

[:] To enable the ToDo icon for transported items:

  1. Check Menu Ribbon | Home | Options | Transporter | Set ToDo icon to Transported items.
  2. Click OK.

[:] To transfer information from another application to Info Select:

  1. In the Selector choose a location to place the transported data.
  2. In the other application, highlight the information.
  3. In the system tray (usually located at the bottom right corner of your screen – if not, see Windows help) click the lightning bolt icon .
  4. The lightning bolt will turn green momentarily if the transfer was successful, red otherwise. Alternatively you can press CTRL + SHIFT + T.

You can also use several advanced Transporter features for more convenient transporting data to Info Select. You can have the transported data appended to current cursor position in a Note, E-mail, or other item; to the bottom of the current Note; transferred as a new Selector item; placed into the Transported Data topic at the top of Selector, or simply placed under the Overview.

[:] To Transport data to current cursor position:

  1. In the Workspace, place the cursor to the position where you would like to transport data.
  2. In the other application, highlight the information which you would like to transfer to Info Select.
  3. Right-click on the lightning bolt icon and choose Append to Cursor in the pop-up menu. The transported information will appear at the current cursor position.

[:] To append Transported data to the current Note:

  1. In the Selector, choose a Note to append the transported data to.
  2. In the other application, highlight the information which you would like to transfer to Info Select.
  3. Right-click on the lightning bolt icon and choose Append to Note in the pop-up menu. The transported information will be appended at the bottom of the currently selected Note

[:] To Transport data to current Selector location:

  1. In the Selector choose a location to place the transported data.
  2. In the other application, highlight the information which you would like to transfer to Info Select.
  3. Right-click on the lightning bolt icon and choose Transport into Selector in the pop-up menu. The transported data will be placed at the current Selector location.

[:] To Transport data to the Transported Data topic:

  1. In the Selector choose a location to place the transported data.
  2. In the other application, highlight the information which you would like to transfer to Info Select.
  3. Right-click on the lightning bolt icon and choose Add to “Transporter” topic in the pop-up menu. The transported information will be placed in to the “Transported Data” topic at the top of the Selector:

This topic will be created automatically.

[:] To Transport data on top of the Selector:

  1. In the Selector choose a location to place the transported data.
  2. In the other application, highlight the information which you would like to transfer to Info Select.
  3. Right-click on the lightning bolt icon and choose Transport into Top of Overview in the pop-up menu. The transported data will be placed below the Overview item on top of the Selector.

You can do the above steps multiple times without returning to Info Select. Later you can switch back to Info Select and see the data at the current location in the Selector.

NoteInfo Select will remember your last choice of the advanced Transporter features, so you don’t need to choose the Transporting method again and use left-click on the lightning bolt icon if you would like to repeat the previous command.

Transported text will include basic formatting and font information only if the application from which the text is taken supports Rich Text Format (.rtf) on its clipboard and gives .rtf priority over plain text.

The Transporter will work where the source application would place text on the clipboard in response to the standard CTRL + C (Copy) command.

To disable the Transporter uncheck Menu Ribbon | Home | Options | Transporter | Enable Transporter.

You can change the hot key used for the Transporter, if it interferes with other applications.

[:] To change the Transporter Hot Key:

  1. Choose Menu Ribbon | Home | Options | Transporter.
  2. Click in the Transporter Hot Key box.
  3. Press the necessary key (for example, if you press Q, the combination will change to CTRL + SHIFT + Q).
  4. Click OK.

Upgrading Note: by default, version 10 transfers text in Rich Text Format, while version 5 used plain text. To obtain the same results as in Info Select 5, check the Menu Ribbon | Home | Options | Transporter | Paste RTF/HTML data as plain text option. If this option is unchecked, Info Select will automatically select the best format for transferring data. You can also enable this option if you have problems using the transporter with some applications.

Note: When transporting a single line or paragraph to Info Select, the text will appear as a Topic. Enable the Menu Ribbon | Home | Options | Editor | Always paste as Note option to have the Transported data always pasted as a Note.

Troubleshooting

Transporter doesn’t work with Internet Explorer under Windows 2000.
Download the latest Internet Explorer version from http://www.microsoft.com/windows/ie/default.asp.

Text is not transferred from some web pages.
This can happen because some of the web pages have complex HTML-coding which is not supported by the Transporter function. Use CTRL+C to copy text from such web pages, and then choose Menu Ribbon | Home | Paste or Menu Ribbon | Home | Paste Special | Plain Text to paste such data into Info Select.
